From Alumni Directory to Living Network: What Turns a Database Into a Community

alumni directory

An alum logs in to the alumni directory to find a former roommate. The profile lists a job from 2017 and an email that bounces. They search for someone in their industry and find three names with no photos, no titles, and no way to message them. Ultimately, they leave and don’t come back.

Most institutions have a version of this directory. It holds thousands of records, costs real money to build, and gets a burst of traffic after every reunion email before going quiet again. The data is there, but the community isn’t.

The good news is the gap between a database and a living network comes down to a handful of design choices. And the data shows students want that network long before they graduate. In our Student Self-Service Expectations in Higher Ed report,  we found that 88% of currently enrolled students said they would find value in career networking and mentorship connections with alumni while still in school.

What is an alumni directory?

An alumni directory is a searchable, members-only list of an institution’s graduates, usually with contact details, class year, location, and career information. In its most basic form, it helps alumni find each other. At its best, it becomes the front door to an alumni community where graduates network, mentor students, join groups, and stay connected to the institution.

What separates those two outcomes is simple: whether alumni have a reason to show up.

Why most alumni directories stall

Directories tend to stall for the same few reasons:

  • Stale data. Records depend on staff updates or annual surveys, so profiles fall out of date fast.
  • One-way design. Alumni can look people up but can’t message, request help, or offer it.
  • No recurring value. Nothing new happens between reunions, so there’s no reason to return.
  • A late start. Institutions introduce the directory at graduation, after the relationship has already cooled.

A late start can cost your institution the most. We found that 53% of currently enrolled students say they have no clear sense of what staying connected as an alum would look like, and 49% say their institution has never communicated what alumni engagement opportunities exist.

6 things that turn a database into a community

1. Give alumni a reason to log in. Career connections are the strongest draw. Build the directory around mentoring, job boards, and industry groups, so every visit leads to something useful.

2. Start before graduation. 75% of students say they’d be more interested in future alumni engagement if their institution introduced those opportunities while they were still enrolled. Invite juniors and seniors into the network for mentoring and career advice, and they’ll become active alumni after graduation.

3. Let members own their profiles. When alumni can update their own information and see why it matters (better matches, relevant events), data stays current without extra staff work.

4. Organize around identity. People connect through shared experiences. Build groups by class year, region, industry, major, athletic team, and affinity, so a directory of 50,000 feels like a room of 50 familiar faces.

5. Make connections two-way. Messaging, flash mentoring, formal mentoring programs, and event registration turn browsing into relationships. A directory should make it easy to ask for help and easy to offer it.

6. Connect it to advancement. Engagement data from your alumni networking platform should flow into your customer relationship management (CRM) system. When gift officers can see who mentors students, attends events, or joins industry groups, they know who’s ready for a deeper conversation.

The engagement-to-giving connection

A living network isn’t just important to alumni relations teams. When we surveyed students about what would most influence their likelihood of giving back after graduation, the top drivers were experiential:

Driver of future givingShare of students
Feeling their student experience was valued and supported63%
Confidence their degree prepared them for their career55%
Positive experiences with faculty or staff54%
A sense of belonging46%
Institutional prestige22%
Endowment size6%

An alumni community delivers several of those drivers at once. It shows graduates their institution still values them, connects them to career support, and gives them a place to belong.

Alumni database software vs. alumni engagement software

These terms get used interchangeably, but they solve different problems. Here’s a quick guide:

Tool typeMain jobBest for
Alumni database softwareStores and manages alumni recordsData hygiene, reporting, segmentation
Alumni directory softwareLets alumni search for and find each otherBasic lookup and reconnection
Alumni networking platformConnects alumni for careers and mentoringMentoring programs, job sharing, industry groups
Alumni engagement software / alumni community platformBrings directory, networking, groups, events, and communications into one branded hubBuilding an active, lifelong community tied to advancement goals

Most institutions already have a database. But to really change your outcomes, you need to be layering an engagement platform on top of it.

How to know your directory is coming alive

Track a few signals each quarter:

  • Monthly active users as a share of registered members
  • Profile update rate
  • Mentoring connections requested and completed
  • Group participation and event registrations from the platform
  • Share of new graduates who joined the network as students

Frequently asked questions

What is an alumni directory?

An alumni directory is a searchable, members-only list of an institution’s graduates, with contact, class year, location, and career details that help alumni find and connect with each other.

What’s the difference between alumni database software and alumni engagement software?

Alumni database software stores and manages records. Alumni engagement software adds networking, mentoring, groups, events, and communications, so alumni actively participate in the community.

How do you get alumni to use an online directory?

Give them a recurring reason to visit, such as mentoring, career connections, and relevant groups. Let members update their own profiles, and introduce the network to students before graduation.

When should institutions start alumni engagement?

Before graduation. In Gravyty’s 2026 survey of 1,058 enrolled students, 75% said they’d be more interested in alumni engagement if their institution introduced opportunities while they were still in school.
